This statement explains how MarineVertex Solutions B.V. processes personal data submitted through the website's controlled intake routes. It is an honest, route-specific statement, not a generic template.

Route processing map
Each contact route processes only the information needed for its purpose. We do not ask for crew or medical data, passwords, identity documents at first contact, or full Class files.
- Vessel project, dry dock or mobilisation — Received for capability, authority, availability and information review. No acceptance, mobilisation, budget or schedule commitment.
- Electrical, automation or DP systems — Received for technical classification. No root-cause, attendance, modification, OEM, Class or independent-assurance commitment.
- Tema Shipyard vessel screening — Received for authority, compliance, information and preliminary suitability review. No Tema interest, availability, price, quote or acceptance.
- Controlled evidence or reference — Received for identity, purpose, rights and confidentiality review. No record-release entitlement.
- Procurement or PQQ — Received for procurement-purpose and evidence-release review. Availability of each record remains subject to gate.
- Legal or privacy — Received and classified. Proportionate identity or authority verification may be required through a controlled route.
- Service complaint or quality concern — Recorded for safety, quality, contractual, data and conflict triage. No finding or admission of fault.
- Integrity or speak-up concern — Recorded under restricted access for safety, conflict, legal and preservation assessment. Not a legal determination.
Lawful bases
We rely on legitimate interests (Article 6(1)(f) GDPR — responding to business enquiries and qualifying engagements), steps prior to a contract (Article 6(1)(b)), and legal obligation where applicable (Article 6(1)(c)), under the GDPR/AVG.
Recipients
Submissions are accessed only by the responsible reviewer and, where required, a second reviewer. To deliver your enquiry to our team, form and chat content is transmitted through a messaging service acting as our processor; where a hosting, email or messaging provider processes data on our behalf, it does so under that provider’s terms and only for the purposes above. We do not sell personal data or use it for advertising.
Tema & international transfers
Tema Shipyard, yards, Class, OEMs, insurers and specialists are not automatically MVS processors; each role is assessed per disclosure. Where data is transferred outside the EEA we apply an appropriate safeguard such as the EU Standard Contractual Clauses.
Retention
Enquiry data is kept only as long as needed to handle the enquiry and any resulting engagement, and routinely no longer than 24 months from last contact unless a contract or legal obligation requires otherwise, after which it is deleted.
Security
Access is role-based and least-privilege. Please do not submit confidential, crew, medical or commercially restricted material through the website forms or chat; share those only under a controlled route once an engagement is agreed. Speak-up handling is not described as anonymous, independent or 24/7.
Live chat
The on-site chat is a first-party MarineVertex channel (no third-party chat widget). Messages are relayed server-side to our technical desk via Telegram; short-lived server session files support the conversation and are routinely deleted. An AI assistant (currently OpenAI, US — under the EU Standard Contractual Clauses) acting as our processor may draft an initial response; a person then follows up. Do not enter confidential data in chat.
Your rights
You may request access, rectification, erasure, restriction, objection and portability, and may complain to the Dutch supervisory authority (Autoriteit Persoonsgegevens). Requests are handled through the privacy contact route below, with proportionate identity verification.
Version control
This statement is versioned. The controlling version and date are recorded at release; a Dutch version is provided where required.
